Contract Acceptance

  • Review the contract meticulously, ensuring it is complete with all necessary signatures, initials, and dates.
  • Verify that any relevant addenda, broker-specific forms, and seller's disclosures are included and properly signed.
  • Distribute the executed documents to the client, agent, title company, and mortgage company (if applicable).
  • Send an introductory email to all parties involved, introducing them, providing a detailed timeline for the transaction, and explaining the duties of the transaction coordinator (TC).
  • Confirm that the initial deposit has been made and obtain the required escrow letter.

Throughout the transaction

  • Track the contract's timeline and ensure deadlines are met (loan commitment, inspection period, escrow due dates, title commitment).
  • Obtain HOA contact information, application, and bylaws.
  • Ensure the buyer submits HOA application and obtain approval letter if applicable.
  • Confirm date/time of home inspection and confirm utilities will be turned on.
  • Confirm date/time of appraisal.
  • Prepare additional addenda as needed (price reductions, repairs, extensions, etc.)
  • Maintain regular contact with cooperating agent, title company, HOA, and loan officer for status updates and outstanding items. 
    At Closing 
  • Double-check the date and time for the final walk-through and closing to ensure accuracy.
  • Coordinate the outgoing wires from the escrow account, ensuring that all necessary funds are transferred correctly.
  • Verify that the client has received the wire instructions from the title company, providing guidance on how to complete the transaction.
  • Submit the file to your office for compliance purposes, ensuring that all necessary documentation and paperwork are in order.
  • Ensure that the client has received the information regarding utility transfer, guiding them on how to transfer utilities to their name.
  • Take a moment to express gratitude and thank the client for their trust and collaboration throughout the transaction process.

Listing Management
Listing Management - $175 per listing

  • Input listing into MLS with photos and any PDF attachments requested by Agent.
  • Enter showing instructions into Showingtime.
  • Review listing agreement to ensure it is complete and required disclosures are included.
  • Submit to your office for compliance.
  • Obtain HOA application procedures, rules and regulations, and other pertinent information.
  • Make changes in MLS throughout the transaction (price changes, open houses, extensions, status changes, new photos, etc.)
  • Agent to provide executed listing agreement and MLS input sheet.
